Today we are going to review how to practice etiquette when communicating in the virtual world particularly when doing video conferencing.
When working remotely, it's critical to learn how to be a good Zoom host and attendee so that you can get the most out of the platform. Despite the limitations of digital communication, we can still make a positive and successful Zoom meeting by making sure that both hosts and guests are following vídeo conferencing etiquette.
Remember that these etiquette are not exclusive to Zoom, but rather these are general rules for collaborating and communicating with others to achieve the best results. Etiquette is equivalent to good manners and it should be practiced whenever we communicate with others both online and face to face.
First is being aware of your audio by learning to toggle your mic on and off quickly. When engaging in a virtual meeting, this is one of the most significant elements to consider. One rule of etiquette is to mute your microphone when you are not speaking. This makes sure that nobody hears your background noises and you won’t cause distractions. If possible, minimize your background noises. It also helps if you sit in a quiet area and check the option for using noise cancelling in your audio settings.
Next is to dress appropriately depending on the type of meeting you are attending or depending on the guidelines given. Treat physical and virtual meetings equally, sit down straight and avoid chewing gum or eating. Think of it as you will be attending a normal face to face meeting so fix your overall appearance especially your hair and face. It is also better to be overdressed than underdressed.
It is good to keep your background presentable as well. Remember that people can see whatever the camera is pointing at behind you. You may have a stack of unwashed laundry at your back or your room may be too messy, be aware of that and make it look nice and clean. You can also activate the virtual or blur background feature on Zoom, this will help to hide anything behind you.
Another helpful tip is to be on time. If possible, arrive 5 minutes or as early as you can before the meeting begins. That way you can test your microphone and camera to make sure they are working. This will give you ample time to troubleshoot any unforeseen issues.
Lastly is to stay focused and eliminate distractions. Look at the eye of the camera and pay attention. Avoid doing other tasks like checking emails and scrolling on your social media. Listen to the host so that when you are called, you know what is happening and you are always ready.
